Talentea is an HR management service that lets companies manage their staff, leave, attendance, payroll, documents, recruitment and reports. This policy explains what information Talentea handles, why, and what rights you have. In this policy, "we" and "Talentea" mean the Talentea management system, and "your company" means the employer that signed you up.

1. Who is responsible for the data

Each company that uses Talentea decides what staff information it records and why. For that information, your company is the data controller and Talentea acts as its service provider (data processor), storing and processing the information on the company's behalf. For information we need in order to run the service itself, such as company registration and sign-in details, Talentea is the controller.

2. Information we handle

Depending on how your company uses Talentea, this can include:

Account details: name, work email address, role and password (passwords are handled by our sign-in provider).
Company details: company name, logo, departments and settings.
Staff records: employee ID, contact details, date of birth, department, job role, contract type and start date.
Work records: leave requests and balances, attendance, shifts, performance assessments, loans and claims.
Payroll records: pay, deductions and payslips.
Documents: letters and files uploaded by HR or managers, such as contracts and certificates.
Recruitment: job postings and the details and CVs that applicants submit.

We do not ask for, and the service is not designed to collect, payment card numbers or government ID numbers.

3. How we use it

To provide the features your company has switched on, and to let each person see only what their role allows.
To sign you in and keep your account secure.
To send service emails, for example password resets and notices.
To fix problems and improve the service.

We do not sell personal information and we do not show advertising.

4. Keeping companies separate

Every company's data is kept in its own space. A login belongs to one company only and can open only that company's data. Information is not shared between companies. When you sign out, the data loaded in your browser for that session is cleared.

5. Where data is stored and who helps us run the service

Data is stored with our cloud database and sign-in provider (Supabase). Service emails are sent through an email delivery provider (Resend). These providers process information only to supply their services to us. Their servers may be in countries other than yours, and we use providers that apply security protections to the data they hold.

6. Browser storage

Talentea uses your browser's storage to keep you signed in during a session, remember settings such as language and display theme, and let the app open quickly when installed. We do not use advertising or tracking cookies.

7. Security

Connections to Talentea are encrypted, access is controlled by role, and data is separated by company. No system is completely risk-free, so please use a strong, unique password and sign out on shared devices.

8. How long we keep information

Staff and company information is kept while your company's account is active, and for as long as your company needs it for its own legal and record-keeping duties. When a company account is closed, its data is deleted or returned to the company on request, unless the law requires us to keep something longer.

9. Your rights

Under applicable data protection law, including Ghana's Data Protection Act, 2012 (Act 843), you may ask to see the personal information held about you, have mistakes corrected, object to certain uses, or have your information deleted where there is no legal reason to keep it. Because your employer controls most staff records, we may need to pass your request to your company's HR team, or ask you to contact them first.

To request access, correction or deletion of your information or account:

10. Children

Talentea is a workplace tool for employees and job applicants and is not intended for children under 16. We do not knowingly collect information from children.

11. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed. If we make a significant change, we will tell company administrators through the service or by email.
